Summary – basic function of the role
We are looking to recruit an Operations Administrator to join our team on a permanent, full-time, on-site basis at our Kerpen facility.
This role is at the heart of our operations, supporting both the workshop and field teams with critical administration and coordination. You will ensure smooth and efficient processes across timesheets, invoicing, financial documentation, and customer portals, acting as a key link between departments. It’s a great opportunity for someone who enjoys working in a dynamic environment, has strong organizational skills, and thrives on keeping things running seamlessly behind the scenes.
Duties and Responsibilities
Provide day-to-day administrative support to the Operations team.
Accurately process and enter all timesheets into Oracle once approved by the Operations team.
Calculate timesheets and prepare statements of costs and revised quotes for projects.
Liaise with Application Engineers to resolve queries related to timesheets or project documentation.
Manage invoicing of projects and operate across different customer portals.
Assist with daily administrative tasks for the Operations team, ensuring smooth workflow.
Support the preparation of annual financial statements with relevant data and documentation.
Act as backup for payroll accounting and staff-related administration.
Maintain and organize documents from the Operations and Workshop departments.
Communicate with colleagues across departments to ensure accuracy of information.
Ensure documentation is processed promptly and delivered to the correct stakeholders.
Promote and enforce HSSEQ (Health, Safety, Security, Environment, and Quality) standards across the organization.
Represent Hydratight professionally at all times, following published processes and company policies.
Proactively contribute to safety awareness and continuous improvement.
Education and Experience
Proficient in MS Office (Excel, Word, Outlook).
Experience with Oracle and/or SAP systems is highly desirable.
Good command of English (written and spoken); German language skills would be a strong advantage.
Previous experience in an administrative role within an operations, finance, or engineering environment preferred.
Strong attention to detail and organizational skills.
Ability to manage multiple tasks, prioritize effectively, and work independently.
