Your impact at MUFG
The Payroll Specialist (Analyst) is responsible for supporting the German payroll function and MBE Payroll, acting as a key support to the main payroller. This role ensures compliance with German payroll legislation, statutory duties to authorities, and the accuracy and timeliness of daily payroll operations.
Function positioning
You will functionally report to the Head of HR Operations MBE and, for disciplinary matters, to the Head of HR Germany. The position holds accountability for supporting the HR Department (German and MBE Payroll teams). You will also collaborate with: Payroll team, HR Business Partners, Compliance, Legal, and external authorities
The role includes the following:
- Support payroll processing for German and MBE payroll, ensuring accuracy, timeliness, and adherence to internal controls.
- Ensure payroll runs comply fully with German labor laws, tax regulations, social security, and statutory reporting obligations.
- Support payroll audits and reconciliations, including cross-border payroll coordination between Germany and MBE entities.
- Act as liaison with external authorities (e.g., Finanzamt, social security agencies) for payroll-related reporting and inquiries.
- Monitor changes in German labor and payroll legislation, social security, tax laws, and related regulations, advising HR and Payroll leadership of necessary policy or process updates.
- Support implementation of legal and regulatory compliance initiatives related to payroll.
- Maintain awareness and compliance with GDPR and data privacy requirements in payroll data processing.
- Prepare and deliver regular and ad-hoc payroll reports to management and relevant stakeholders, highlighting trends, anomalies, and compliance status.
- Collaborate with the Head of HR Operations MBE and HR Germany to ensure aligned communication on payroll matters.
- Assist in the rollout and communication of payroll-related policies, updates, and initiatives.
- Support payroll system/process enhancements and integration with HRIS, ensuring smooth data flow and process automation.
- Assist with documentation and maintenance of payroll procedures and internal controls.
- Participate in designated HR and payroll projects, ensuring German payroll requirements are fully considered.
- Maintain excellent working relationships with internal HR, Finance, Legal, Compliance, and external authorities.
- Work closely with MBE Payroll team to ensure consistent payroll practices across regions.
- Collaborate with external payroll providers, tax advisors, and social security authorities as needed.
- Support payroll processes for both MUFG Bank Germany and MBE entities, ensuring entity-neutral compliance and operational integrity.
- Identify and escalate any conflicts or differences in payroll requirements between entities to management.
In order to be successful in the role, you will need the following:
Skills and experience:
- Solid understanding of German payroll legislation, tax and social security systems, and statutory reporting requirements.
- Experience with payroll systems (e.g., SAP HR Payroll, DATEV, or equivalent) and HRIS interfaces.
- Ability to manage multiple priorities, work under deadlines, and make decisions independently within the payroll domain.
- Strong communication skills to collaborate across multiple internal and external stakeholders.
