Overview
We are looking for a proactive and highly organized Event & Host Site Coordinator to support the planning and execution of our international Franklin Method workshops and trainings. If you love communicating with people, organizing events, and ensuring everything runs smoothly, this role is for you!
Responsibilities
- Sales & Host Prospecting• Identify and contact potential host sites for our workshops• Manage initial communication and inquiries
- Pre-Training Coordination• Communicate with host sites to define training topics, schedules, and outcomes• Prepare and ensure all agreements are signed (financials, splits, expenses)• Organize teaching spaces, required equipment, and faculty needs• Coordinate marketing materials (descriptions, graphics, registration links)• Arrange translations of manuals if required• Ensure all participant agreements and training rules are clear (e.g., no filming policies, licensing agreements)
- Training Day Preparation• Create participant lists with contact details and professions• Ensure all participants have signed the required agreements• Prepare certificates, equipment (balls/bands), and materials (manual PDFs or printed copies)• Assist with on-site setup (chairs, tables, pens, refreshments)
- Post-Training Follow-Up• Manage final host calculations, participant records, and invoices• Enter participant data into our CRM (Keap) and update tags• Check payments and send promotional offers for further courses
Qualifications
- Strong communication and organizational skills
- Ability to coordinate multiple tasks and manage deadlines
- Comfortable creating and reviewing agreements and event logistics
- Experience with marketing materials (basic graphic editing is a plus)
- Knowledge of CRM tools (e.g., Keap) is an advantage
- A proactive problem-solver who can work independently

Job Type: Part-time
Pay: 23,10€ - 27,82€ per hour
Expected hours: 10 – 20 per week
